What can you do with your information?

The law gives you a number of rights to control what personal information is used by us and by local authority’s where we are operating a centre as an agent and how it is used by us. 

You can ask for access to the information we or your local authority hold on you.

Important: How you make a subject access request depends on which leisure centre you use.

For agency-operated centres: Your local authority is the data controller for your personal information. You should submit your subject access request to them. Find your local authority’s Data Protection Officer contact details in our full privacy policy 

For other centres: Places Leisure is the data controller. Use the details below to submit your request to us.

You can also submit your request to us for agency centres, and we will forward it to the appropriate local authority, although this may add time to the process.

You have the right to ask for the information we or the local authority (as appropriate) have about you. When a data controller receives a request from you in writing, they must give you access to what personal information they’ve recorded about you.

However, you can’t be given access to any parts of a record which contain:

  • Confidential information about other people; or
  • Information that may be held in preparation to defend legal claims

This applies to personal information that is in both paper and electronic records. If you ask the data controller, they’ll also let others see your record (except if one of the points above applies).

A request for personal information can be made via email or in writing. This is known as a subject access request. In order to make a subject access request you will need to provide the following information:

  • your name
  • your address
  • proof of identity and signature
  • enough information to identify your records

What types of documents could I submit as proof of ID?

  • Copy passport with signature (please remove your passport number)
  • Copy driving license picture with signature (please remove your driver number)

Alternatively you can download a copy of our Subject Access Request Form. Please ensure you attach copies of your identity documents with the document reference numbers removed). If you have any difficulties completing the form or are unable to make a request in writing, please call the company secretary on 01276 418200.

The data controller will not start your subject access request until they are satisfied that you have provided them with enough information to identify you.

Once you have made a request you will receive an acknowledgement, and your request should be answered within one month. In certain circumstances, the data controller is   allowed to take longer but they will tell you if they may need longer without undue delay from when they receive your request.
